Printer Installation & Maintenance in Rwanda

Printer and MFP setup, network sharing and servicing to keep output devices running.

Printer installation and maintenance sets up printers, copiers and multi-function devices so everyone who needs them can print and scan reliably, then keeps them working and secure through scheduled servicing. Any organisation with unreliable printing, devices attached to one person’s computer or printers nobody has serviced in years needs it. This page covers setup and upkeep. Choosing and buying the devices is covered by printers and scanners under IT Equipment Supply.

What is printer installation and maintenance, and who needs it

It covers installing printers and multi-function devices on your network, setting up scanning, sharing and permissions, connecting them to staff devices and keeping them serviced, updated and secure. It suits offices with shared printers or copiers, organisations that scan large volumes of documents, and any site where printing problems are a weekly helpdesk topic.

The problem it solves

Printers cause a disproportionate share of everyday IT frustration. A printer shared through one person’s computer stops when they go home. Drivers differ across devices. Scanning works for some staff but not others. Jams increase as worn parts go unreplaced. Meanwhile the device sits on the network with its factory admin password and years-old firmware. Proper setup and routine maintenance remove most of that friction.

Setting printers up properly

Network connection with a fixed address, so devices can always find the printer.

Central deployment of the right driver to every staff device, through device management where available.

Scanning to email or shared folders, tested with your mail system and permissions.

Permissions and tracking: who may print in colour, quotas and secure release where needed.

Secure configuration: default passwords changed, unused services disabled and firmware updated.

Printers as a security risk

A modern multi-function device is a networked computer. It has a web administration page, may store copies of documents it has printed or scanned, holds an address book and can be used as a foothold on the network if left unprotected. Some devices have shipped with no administrator password at all. The basics go a long way: change default credentials, keep firmware current, delete stored jobs automatically where the device supports it, place printers on their own network segment where practical, and wipe or remove internal storage before a device is returned to a lessor, sold or recycled.

Owned or leased?

Many organisations lease copiers with a service contract from the supplier, while owning smaller printers outright. Both can work, but the responsibilities differ. Leased devices are usually serviced by the leasing company, and our role is the network setup, scanning, driver deployment and security settings, coordinated with their technician. Owned devices are maintained by us on a schedule. Either way, we keep a single list of every device, who services it, and when its contract or warranty ends.

What the work involves

  1. Survey devices, locations, volumes and who uses what.
  2. Install and connect printers on the network with fixed addresses.
  3. Deploy drivers and printer connections to staff devices.
  4. Set up scanning, permissions and any tracking or secure release.
  5. Secure each device.
  6. Service on a schedule: cleaning, parts, consumables and firmware.

What’s included and what’s not

Included: installation and network setup, scanning configuration, driver deployment, security settings, and scheduled servicing visits.

Not included unless arranged: the printers themselves, consumables and replacement parts (see printers and scanners under IT Equipment Supply), and repairs covered by a manufacturer warranty or a leasing contract’s own service.

Typical timelines and what drives cost

Installing a single printer typically takes an hour or two; a full office with scanning and deployment to every device takes a day. Ongoing maintenance is usually a recurring fee based on the number of devices, their volume, how dusty the environment is and visit frequency.

Equipment typically used

Network printers and multi-function devices from established manufacturers, manufacturer admin and firmware tools, device management or a print server for driver deployment, and where needed, print tracking or secure-release software.

Common mistakes we see

Printers shared through one person’s PC. Different drivers on every computer. Scan-to-email broken since the mail system changed. Default admin passwords still in place. Firmware never updated. Worn parts left until they cause daily jams. And a leased copier returned with years of scanned documents still on its drive.

Frequently asked questions

Can multiple staff share one printer over the network?

Yes, and it's usually better than printers attached to individual computers. A network printer gets a fixed address and is installed on staff devices automatically, so everyone can print without depending on someone else's PC being switched on. Larger offices can use a print server or a cloud print service to manage drivers and permissions in one place.

Do you handle multi-function printers (scan, copy, fax) or just print devices?

Both. For multi-function devices, we set up printing, copying and scanning to email or to a shared folder, so staff can scan straight into the right place. Scan-to-email needs to work with modern mail sign-in, which older devices sometimes don't support, so we check compatibility with Microsoft 365 or your mail provider before relying on it.

What kind of ongoing maintenance does a printer actually need?

Regular cleaning, consumables and parts replaced on time, firmware updates, and checks on scanning, sharing and security settings. Rollers, fusers and maintenance kits wear with use and are cheaper to replace on schedule than after they cause jams. Dust in many offices shortens their life, so busy devices benefit from more frequent servicing.

Can printer usage be tracked or restricted by department?

Yes, on devices and software that support it. Staff can be given personal codes or cards, so printing and copying are recorded by person or department, colour can be limited, and quotas set. Secure release, where a job only prints when the person arrives at the device, also stops confidential documents being left on the tray.

Are office printers a security risk?

They can be. Modern printers are networked computers with web admin pages, stored documents and address books. Default admin passwords, out-of-date firmware and stored copies of scanned documents are common weaknesses. We change default passwords, update firmware, disable unused services, enable automatic deletion of stored jobs where available and wipe storage before a device leaves.
