Business Email Setup in Rwanda
Business email on your own domain, set up with the spam and security controls it needs.
Business email setup gives every member of staff a professional address on your own domain, on the right email service for your needs, configured so your messages reach inboxes, imposters can’t easily send as you and old mail comes across intact. Any organisation using free personal email for work, or with business email that often lands in spam, needs it. This page covers email on its own. Email as part of the full Microsoft 365 workspace, with Teams and SharePoint, is covered by email and collaboration setup under Microsoft & Cloud.
What is business email setup, and who needs it
It’s choosing an email service, connecting it to your domain, creating mailboxes and shared addresses, configuring authentication and security, migrating existing mail and setting up phones and computers. It suits new organisations, those moving off free email accounts or ageing hosting-provider mail, and those whose email is regularly rejected or marked as spam.
The problem it solves
Email problems hurt quietly. Proposals land in the client’s spam folder because authentication records are missing. A criminal sends an invoice from an address that looks like yours, and your client pays. A staff member leaves with the only copy of years of correspondence in their personal account. Proper setup addresses all three: authenticated mail, protected mailboxes and organisational ownership.
Choosing an email service
Microsoft 365 or Google Workspace. Email with calendars, file storage, video meetings and strong security controls. Best for most organisations whose staff collaborate.
Hosting-provider email. Basic mailboxes from a web host. Cheaper, suitable for small teams that only need email, but with fewer security and management features.
Whichever you choose, the mailboxes, domain and admin account belong to your organisation.
The authentication trio
SPF lists the servers allowed to send email for your domain.
DKIM adds a digital signature to each message, proving it wasn’t altered and came from an authorised sender.
DMARC tells receiving servers what to do when a message fails those checks, and sends you reports.
Since February 2024, Google and Yahoo have required all three from organisations sending email in bulk to their users, and they help every sender reach inboxes. We set them up for every service that sends as you, including your website’s contact forms and any mailing tool, then move DMARC from monitoring towards enforcement once reports show legitimate mail passing.
Protecting mailboxes
- Two-step sign-in for every user.
- Spam, phishing and malware filtering, tuned for your organisation.
- Shared mailboxes for addresses like info@ and accounts@, instead of shared passwords.
- No automatic forwarding to outside addresses, a common trick after an account is compromised.
- A leaver process that keeps a departing person’s mail with the organisation, converting the mailbox or forwarding it to a manager instead of deleting it.
What the work involves
- Choose the service and plan.
- Connect the domain and verify it.
- Create mailboxes, shared mailboxes and aliases.
- Configure SPF, DKIM, DMARC and security settings.
- Migrate existing mail, then switch mail delivery outside working hours.
- Set up devices and give staff a short guide.
What’s included and what’s not
Included: service selection, domain connection, mailbox setup, email authentication, mail migration, and device setup.
Not included unless bundled: licence or hosting fees, the wider Microsoft 365 workspace (see email and collaboration setup), domain registration (see domain registration) and bulk marketing email platforms.
Typical timelines and what drives cost
A small organisation can be set up in one to three days; migrations from another provider take longer depending on mailbox sizes and internet speed. Cost is driven by the number of mailboxes, the amount of mail to migrate, the source system, and how many other services send email as your domain.
Equipment typically used
Microsoft 365, Google Workspace or a reputable host’s email service, migration tools for the source system, DNS management, email authentication testing tools, and DMARC report analysis.
Common mistakes we see
Free personal addresses used for work. No SPF, DKIM or DMARC, so mail lands in spam and is easy to forge. Website forms sending mail that fails authentication. One shared password for a common mailbox. No two-step sign-in. And a departing employee’s mailbox deleted, taking years of correspondence with it.

How Much Does Business Email Setup Cost in Rwanda?
Business email setup cost depends on mailbox count, migration needs from existing email, and security configuration — here's the breakdown.
Frequently asked questions
Should we use Microsoft 365 or a hosting-provider email service?
If you also want shared calendars, file storage, Teams and managed devices, Microsoft 365 or Google Workspace is usually the better value, and Microsoft 365 is covered under our Microsoft & Cloud services. If staff only need mailboxes, a reputable hosting provider's email can cost less. The deciding factors are features, security controls, mailbox size and who will manage it.
Why does email on our own domain matter versus a free email service?
Credibility and control. An address like name@yourorganisation.rw tells clients and partners they're dealing with an organisation, not an individual. The organisation also owns the mailboxes: when someone leaves, their mail stays with you and can be redirected. Free personal accounts belong to the person, and their contacts and history leave with them.
What spam and security settings should be configured?
At minimum SPF, DKIM and DMARC records for your domain, so receiving servers can confirm your mail is genuine and reject forgeries. Google and Yahoo have required all three from bulk senders since February 2024. Beyond that: two-step sign-in for every mailbox, spam and malware filtering, and blocking automatic forwarding to outside addresses.
Can existing email accounts be migrated to a new setup without losing history?
Yes. Mail, folders and usually contacts and calendars can be moved from most providers. Old mail is copied in the background before the switch, then the mail records in your DNS are changed outside working hours and any messages arriving during the change are collected. Staff keep their history and the old service stays available until everything is confirmed.
What is DMARC, and why does it matter?
DMARC is a DNS record that tells receiving mail servers what to do with messages claiming to be from your domain that fail authentication checks, and sends you reports about them. It starts in monitoring mode, so you can see who sends mail as you, then moves to quarantine or reject once legitimate senders are set up. It's one of the best defences against impersonation.
