Laptops in Rwanda
Laptops sourced and configured to spec, with imaging and asset tagging on request.
Laptop supply provides business laptops chosen for how each group of staff actually works, set up before they arrive, encrypted and recorded as assets, so staff receive a ready, secure machine and you know where every one is. Any organisation equipping travelling, remote or field staff, or replacing an ageing fleet, needs it. This page covers choosing and supplying laptops. Fixed-desk machines are covered by desktop computers, and enrolment and management by Microsoft Intune.
What is laptop supply, and who needs it
It’s sourcing business laptops matched to roles, quoting them with manufacturer warranty terms, and optionally configuring, tagging and delivering them ready for use. It suits NGOs with field teams, organisations with managers who travel, hybrid workforces, schools and training programmes, and anyone moving staff from shared desktops to personal machines.
The problem it solves
Laptops bought on price alone often fail the people using them: batteries that don’t last a field day, chassis that crack on rough roads, consumer models with no management features, and machines too weak for the software staff need. Lost laptops with unencrypted drives become data breaches. Choosing by role, from business product lines, and setting them up securely from the start avoids these problems.
Choosing by how people work
Office and hybrid staff. Light, reliable machines with good keyboards and screens, and docking for a desk monitor.
Field staff. Long battery life, sturdier construction, bright screens and good wireless, with protective bags.
Managers who travel. Light weight, long battery life and good webcams for meetings.
Finance and data roles. More memory and faster storage.
Shared or training laptops. Robust, easy to reset between users.
Every model meets Windows 11’s requirements, including TPM 2.0, so laptops stay supported for their working life.
Security from day one
- Disk encryption with recovery keys stored centrally.
- Standard user accounts, not everyday administrator rights.
- Device management enrolment, so lost laptops can be locked or wiped.
- Files in OneDrive or on a server, not only on the laptop.
- Asset records, so leavers return what they were given.
Warranty, repairs and spares
Laptops get dropped, rained on and carried on motorbikes, so how quickly they can be repaired matters as much as how well they’re built. Manufacturer warranties differ in what they cover and where: some offer on-site service, some require the laptop to be sent away, and accidental damage is often an extra. We state each option on the quote. For organisations with many field staff, a small pool of spare configured laptops means someone whose machine fails can keep working the same day while the repair happens, which usually costs less than the lost work.
Planning replacement
Spreading laptop replacement across several years avoids a budget spike and keeps the fleet from ageing all at once. The asset register shows which machines are oldest, out of warranty or unable to run a supported operating system, so replacement goes where it’s needed first.
What the work involves
- Agree roles and a short list of models.
- Quote with manufacturer warranty terms, including on-site or accidental damage options where offered.
- Order and receive, checking against specification.
- Configure or register for automatic setup, and tag assets.
- Deliver and hand over, moving data from old machines.
- Collect and wipe replaced laptops for reuse or responsible disposal.
What’s included and what’s not
Included: role-based specification, sourcing, quotes with warranty terms, asset tagging, and delivery.
Not included unless bundled: configuration to your standard (see system configuration), device management setup, software licences, and repairs outside warranty.
Typical timelines and what drives cost
Common business models can often be supplied within days to a few weeks, depending on availability; large or specialised orders take longer. Cost is driven by specification, build quality, quantity, warranty level, accessories such as docks and bags, and whether configuration and deployment are included.
Equipment typically used
Business laptop lines from established manufacturers, docking stations, external monitors, protective bags and cases, privacy screens for staff working in public, and asset labels.
Common mistakes we see
Consumer laptops for business use. One model forced on every role. Batteries too small for field work. Laptops handed out with no encryption. No asset record, so leavers keep machines. Accessories forgotten until the rollout. And old laptops given away with data still on them.

How Much Do Business Laptops Cost in Rwanda?
Business laptop cost depends on specification matched to actual workload, warranty coverage, and fleet-scale procurement — here's what drives the number.
Frequently asked questions
What should we consider beyond price when choosing business laptops?
How each person works. Field staff need long battery life, a sturdy build and good screens outdoors. Staff who travel need light machines. Finance and data roles need more memory. Everyone needs a supported operating system, a reliable keyboard and a machine that your device management can enrol. Warranty terms and local parts availability matter as much as the purchase price.
Can laptops be asset-tagged and tracked as part of supply?
Yes. Each laptop can be labelled and recorded before delivery with its serial number, assigned user, location, purchase date and warranty end. With device management in place, the record stays current automatically. That record answers who has which laptop, what's due for replacement and what to wipe when someone leaves.
Do you supply laptops for remote or field staff specifically?
Yes. For field use we look for longer battery life, sturdier builds, bright screens, good Wi-Fi and, where needed, mobile data connectivity, plus bags or cases that protect machines on motorbikes and in vehicles. Some manufacturers offer semi-rugged models; we compare their claims against how the laptops will actually be used before recommending them.
Can laptops be pre-imaged before delivery to speed up rollout?
Yes. Laptops can arrive configured to your standard, or, with Microsoft Intune and Autopilot, set themselves up when staff first sign in with their work account. Either way, staff receive a ready-to-use machine instead of an afternoon of setup, and every laptop in the fleet is set up the same way.
How do we protect data on a lost or stolen laptop?
Mostly before it's lost. Laptops should have disk encryption switched on with recovery keys stored centrally, a sign-in password and two-step sign-in for work accounts, and files saved to OneDrive or a server rather than only on the device. With device management, a lost laptop can also be locked or wiped remotely.
